Privacy Policy

Ocean Moon Software ("we", "us", "our") is a freelance web and software development business based on the Gold Coast, Queensland. This policy explains how we handle personal information collected through oceanmoon.software and during the course of providing services.
We are not formally bound by the Privacy Act 1988 (Cth) — our turnover is well below the $3 million threshold — but we follow the Australian Privacy Principles (APPs) as a matter of practice. What we collect
Through this website, the only personal information we collect is what you choose to send us via the contact form:
- your name
- your email address
- the message you write
If we go on to work with you, we may also collect information you give us during the course of that work — for example, your business name, phone number, billing details, and information about your project. Any sensitive information (as defined in the Privacy Act) is only collected if you provide it to us directly and it's necessary for the work.
We do not run analytics or advertising trackers on this site. The site uses only the cookies strictly necessary to keep it working (session, anti-spam, and similar). We do not build profiles of visitors.
How we collect and hold it
Information from the contact form is submitted over an encrypted HTTPS connection and delivered to our email inbox. Information you send us by email, phone, or other means is held in those systems.
Personal information is stored on systems we control or on services provided by reputable third parties (for example, our hosting provider and email provider). We take reasonable steps to protect personal information from misuse, loss, and unauthorised access, including using strong authentication on accounts, keeping software up to date, and limiting access to information to what is needed for the work.
When we no longer need personal information for the purpose it was collected, and we are not required to keep it by law, we delete it or take reasonable steps to de-identify it.
Why we collect it
We collect personal information to:
- respond to your enquiry
- quote, plan, and deliver work you've engaged us for
- send invoices and meet our tax and record-keeping obligations
- communicate with you about projects in progress
We do not sell personal information, and we do not share it with third parties for marketing.
Who we share it with
We share personal information only when one of these applies:
- you've asked us to (for example, to coordinate with another contractor on your project)
- it's necessary to deliver the service (for example, our hosting, email, or invoicing providers, who process information on our behalf)
- we are required or authorised by law
This website is hosted on DigitalOcean infrastructure in their Sydney (SYD1) region, so data submitted through the site is stored in Australia. DigitalOcean is a United States company, and as their parent organisation it may, in limited circumstances, be subject to US legal process in relation to data held on its infrastructure.
Email is handled via Google Workspace, which may store and process messages in data centres outside Australia, primarily in the United States. Google is contractually bound to handle personal information in line with standards broadly comparable to the APPs.
Accessing and correcting your information
You can ask us what personal information we hold about you, and you can ask us to correct it if it's wrong. Email us at the address below and we'll respond within a reasonable time, normally within 30 days. There's no charge for this.
Complaints
If you think we've mishandled your personal information, please tell us first — email the address below with the details. We'll acknowledge your complaint promptly and aim to resolve it within 30 days.
If you're not satisfied with how we've handled it, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
Changes to this policy
We may update this policy from time to time. The effective date at the top of the page shows when it was last changed. Material changes will be noted on the home page or sent to existing clients directly.
